Communication in a production environment plays a fundamental role: in many cases communicating effectively means being informed correctly and promptly, and it is therefore on this that the ability of the personnel depends to make quick and conscious decisions and act as a result.

Once you are aware that you need to enable better communication, you have the problem of how to invest in it and, above all, which tool to choose.

There are basically two alternatives for companies: to adopt a general instant messaging platform or to invest in a specific tool designed for the plant.

Instant messaging or tools of corporate collaboration

Instant messaging tools are now extremely common in our daily lives. A glaring example is WhatsApp, general platform par excellence. They are tools used in various contexts, with certainly useful functions but, by definition, generic.

On the other hand, the software designed for collaboration in a company introduces a series of specific features focused on supporting the workflow, facilitating the finding of useful material and guaranteeing high standards of security.

It is obvious that deciding to rely on a general platform entails virtually no cost for the company but, as we will see in the next paragraph, the benefits could likewise be reduced, precisely because these tools are not created to be inserted in corporate processes.

Enterprise Collaboration software: why choose them

There are mainly four benefits to enterprise collaboration software compared to the instant messaging tools:

  • Security: the subject of corporate computer security is very sensitive and very current. Sharing sensitive data through general systems increases the risk of the so-called human factor, namely employees who due to lack of awareness or fraud damage the integrity of the data or share information outside the company. On the other hand, the software created for companies anticipate a priori locking mechanisms which protect the information.
  • Structuring of the information and processes: when there is a problem in the production plant, it is fundamentally important to be able to find suitable information promptly. To satisfy this requirement, the general platforms are truly not suitable. Just think for example of the lack of efficacy in finding a word or a phrase on WhatsApp.

On the other hand, by using Enterprise Collaboration software it is possible to create a chat for every specific process. These chats can be filed and recovered at any time so that the actions performed can be analyzed, possible inefficiencies or problems identified and therefore the processes optimized. With the general platforms, instead, there are unique and “infinite” chats, in which it is hard to find the information.

  • Creation of a knowledge base: directly connected to the advantage of having structured information, there is also the creation of a real knowledge base that can be consulted at any time. In addition, some Enterprise Collaboration platforms anticipate assessment mechanisms of quality and utility of all the content, thereby optimizing the search.
  • Integration with other systems: maybe the most important benefit of the Enterprise Collaboration software concerns the integration with other corporate computer systems and with the machinery.

Good Collaboration software not only speeds up the communication between the personnel but also between man, machines and computer systems. To permit communication among all the components of a process, these software programs use BOT or virtual assistants which permit the interaction in natural language between computer systems or the machines and the operator

In conclusion

Relying on a general instant messaging platform appears on the surface to be the optimal choice since it does not require technological investments. However, these software programs turn out not to be suitable for the work environment, even more for a production environment, and can also involve risks in terms of security.
